Booking terms & conditions

Booking Terms

These terms apply to every expedition, trek, climb, safari and add-on booked with Freedom Peak Expeditions and Adventures LLC, in Tanzania and in every other destination we offer. Where a specific trip has its own deposit or payment schedule, it is set out below and on that trip's page. Some trips are hosted by an independent tour leader with their own trip-specific terms, such as our Peru Huayhuash 2027 terms. Those terms apply in addition to these, and where they differ, the trip-specific terms govern that trip. Please read them before paying your deposit. Paying a deposit means you accept them. These Booking Terms are part of our Terms of Service.

1. Who you're booking with

You book your trip with Freedom Peak Expeditions and Adventures LLC, based in Colorado, USA. We plan your trip, take your booking and support you before you travel.

Each trip is run on the ground by a vetted, licensed local operator in that destination. In Tanzania, this is our partner Kilimanjari Explorer (Kilimanjari Trekking and Safaris, Moshi). For trips in other countries, your itinerary names the local operator. Hotels, lodges, camps, airlines and other services are provided by independent suppliers under their own terms and conditions.

2. Prices

  • All prices are per person in US dollars, unless a trip page says otherwise.
  • Prices can depend on group size, season and lodge or hotel level. Season dates are available on request.
  • Published prices for Kilimanjaro climbs and Tanzania safaris are valid for departures from January 1, 2026 through December 31, 2027. Prices for other trips are shown on each trip's page. All prices may change until your booking is confirmed in writing. After that, your price is locked in.
  • What's included and not included is listed on each trip page and in your written itinerary. Anything not listed as included, such as international flights, travel insurance, visas and tips, is not part of the price.

3. Reserving your trip

A deposit per person reserves your place. Deposits are non-refundable if you cancel. If we cancel a trip, the refund rules in section 7 or the trip-specific terms apply.

TripDeposit per person
Kilimanjaro climbs, Tanzania safaris and Zanzibar add-ons$100, unless the trip page or your itinerary states a different amount
Cordillera Huayhuash Trek, Peru$1,200 (credited toward the $3,999 trip price)
Other trips and destinationsThe amount shown on that trip's page or in your itinerary
  • Your booking is confirmed once we've received your deposit and sent you written confirmation by email.
  • When you pay, you'll be asked to give the full names of everyone traveling, exactly as they appear on their passports.

4. Paying the balance

TripBalance due
Kilimanjaro climbs, Tanzania safaris and Zanzibar add-ons60 days before departure
Cordillera Huayhuash Trek, PeruPaid in full 90 days before departure (May 3, 2027 for the August 2027 departure)
Other trips and destinationsAs shown on that trip's page or in your itinerary
  • We'll email you an invoice ahead of the due date. You can also pay online on our Pay your balance page.
  • If you book after the balance due date has passed, the full price is due when you book.
  • You can pay by card or bank transfer (ACH). Bank transfer is often easiest for larger amounts.
  • If the balance isn't paid by the due date, we may cancel your booking. The cancellation terms below then apply.

5. If you cancel

Please tell us in writing (email is fine). The date we receive your message is your cancellation date. Your deposit is not refundable when you cancel. Refunds are calculated on what you've paid beyond the deposit. For example, if you've paid $5,000 including a $1,200 deposit, a 75% refund is 75% of $3,800, which is $2,850.

Kilimanjaro climbs, Tanzania safaris and Zanzibar add-ons

When you cancelYour refund
60 or more days before departure75% of what you've paid beyond the deposit
30 to 59 days before departure50% of what you've paid beyond the deposit
Fewer than 30 days before departureNo refund

Cordillera Huayhuash Trek, Peru (full details, including the minimum group size and replacement guests, are in the Peru Huayhuash 2027 terms)

When you cancelYour refund
More than 90 days before departure75% of what you've paid beyond the $1,200 deposit
90 days or fewer before departureNo refund

Other trips and destinations: the cancellation schedule shown on that trip's page or in your itinerary applies. If none is shown, the Kilimanjaro and Tanzania schedule above applies.

We can't give refunds for any part of a trip you don't use. That includes leaving early, missing a departure, or being turned back on a mountain or trail for health or safety reasons. Travel insurance with cancellation and interruption cover protects you in these situations.

6. Changes to your booking

Want to change your dates, route or trip? Ask us as early as you can. We'll do our best to help, depending on availability. Any extra costs, such as a higher season price or supplier change fees, are added to your booking. Changing to a date more than 12 months later, or making changes after your trip's balance due date, may be treated as a cancellation.

7. If we change or cancel your trip

  • Before departure: if we have to cancel your trip for reasons within our control, you can choose a full refund of everything you've paid us, or move to another date or trip.
  • Events beyond our control: these include severe weather, natural disasters, epidemics, government restrictions, park closures, strikes and political unrest. If they affect your trip, we'll offer the best available alternative and refund any costs we can recover from suppliers. We aren't responsible for additional losses in these cases, which is another reason to have travel insurance.
  • On the mountain and on safari: your lead guide has the final say on route, pace, campsites, game drives and turnaround times for the safety of the group. Changes made for safety reasons don't entitle you to a refund.

8. Travel insurance

Travel insurance is required for every trip. Your policy must include:

  • Emergency medical treatment and evacuation, including helicopter rescue
  • For climbs and treks, cover for high-altitude trekking up to the highest point of your itinerary (for Kilimanjaro, up to 6,000 m / 19,700 ft)

We strongly recommend that your policy also covers trip cancellation, trip interruption and lost baggage. Please send us your policy details before departure.

9. Health, fitness & altitude

  • Climbs and treks such as Kilimanjaro and the Cordillera Huayhuash mean days of hiking at high altitude, where there is much less oxygen. Please see your doctor before booking, and tell us about any medical conditions, medications, allergies or dietary needs.
  • We'll give you a personal conditioning plan. You're responsible for following it and arriving in good physical health.
  • Our guides check every climber's health every day. If a guide decides it isn't safe for you to continue, you must follow their instructions, including descending. Your safety comes before reaching the summit.

10. Passports, visas & vaccinations

You're responsible for your own travel documents and health requirements, including:

  • A passport valid for at least six months after your trip, with blank pages
  • Any visa or entry permit your destination requires (for example, a Tanzania visa)
  • Any required vaccination certificates, such as yellow fever if you travel from or through certain countries

Requirements differ by country and can change, so check official government sources before you travel. We're happy to point you in the right direction.

11. Risks & responsibility

Adventure travel in remote areas carries real risks, including altitude sickness, injury, illness, wildlife encounters, weather and limited access to medical care. By booking, you accept these risks, and you agree to sign our participant waiver before travel.

We choose our partners and suppliers carefully. They are independent businesses, however, and we aren't responsible for their acts or omissions, except where the law says otherwise. Nothing in these terms limits any rights you have that can't be limited by law.

12. Photos

We sometimes share trip photos on our website and social media. If you'd prefer not to appear in them, just tell us and we'll respect that.

13. Questions & concerns

If something isn't right during your trip, please tell your guide straight away so they can fix it on the spot. If you're still not satisfied, contact us in writing within 30 days of returning home, and we'll respond personally.

14. Governing law

These terms are governed by the laws of the State of Colorado, USA.
